As virtual meetings are now the norm, I have introduced Video conferencing tools Microsoft Teams has features to replicate certain features of physical meetings. An example of this is a feature that allows users to download a meeting attendee list. Here's how to download a meeting attendee list on Microsoft Teams.
Microsoft Teams currently offers three categories of virtual meetings: live events, webinars, and regular meetings. In the past, only live events provided attendance reports. For other meetings, users could only get a list of meeting attendees by taking a snapshot or manually counting the number of people attending the meeting. Users were unable to capture late or early attendees based on their attendance time.
The good news is that all these meetings now have the Meeting Attendee feature, though there's a catch. You must be the meeting organizer or co-organizer to access this feature, and an administrator must enable it before the meeting. There are currently two ways to download meeting attendees in Microsoft Teams.
Download Microsoft Teams to attend during the meeting
If you would like to get the meeting attendee list while the meeting is in progress, you can take the following steps:
Step 1: Joined the meeting And wait Participants join.
Step 2: Click Show participants Among the elements Control the meeting.
Step 3: go to the Participants and click ellipses Or the down arrow.
Step 4: Click Download the attendance list And it must be Microsoft Teams Download the list in PDF format CSV.
Step 5: Go to the Downloads folder in File Explorer And search for the file name of AttendanceList.
Step 6: Double-click it to open the file. Typically, the file should contain the names of the attendees, their join times, and each attendee's leave time. If an attendee joins the meeting before the organizer, their join time should match the organizer's.
Download Microsoft Teams Attendance After Meeting
Most people prefer to attend after the meeting for several reasons. The first is that doing so during the meeting can be very distracting, so you can wait until you've finished compiling your list.
Another reason is that you want to know who stayed until the end of the meeting. Keep in mind that getting a meeting attendance report during a meeting only captures information until you download the report. However, there are two ways to get meeting attendance on Microsoft Teams after the meeting.
Get in to the meeting using the meeting invitation.
Before explaining the steps, it's important to note that you can't use this if you scheduled a meeting through a channel. Check out the steps below to learn how to download meeting attendees from a meeting invitation:
Note: A channel is a site created within Teams. Access to the site is usually restricted to members only.
Step 1: turn on Microsoft Teams and click Calendar icon.
Step 2: Click the meeting In your calendar.
Step 3: Click Pop-up code.
Step 4: Click the down arrow next to Attendees.
Note: You can also download meeting attendance from the Attendees tab next to the meeting details. If the meeting is recurring, select the report you want to view and download.
Download the meeting attendee list using the meeting chat.
After the meeting ends, the meeting attendees are available in the meeting chat. You can use this method if your meeting was created from a channel. To download the meeting attendees, follow these steps:
Step 1: turn on Microsoft Teams and click Chat icon.
Step 2: Scroll through your chats for the meeting conversation or if the meeting was created from a channel, tap Posts.
Step 3: You should see a box labeled Attendance Report in the chat area. Click the downward-pointing arrow next to this report to download the meeting attendance.
Silent meeting participants in Microsoft Teams
Microsoft Teams downloads the meeting report in .CSV format. Also, to access the attendance report, the meeting administrator must enable the feature before the meeting. The steps above show how to download the meeting attendee list on Microsoft Teams. If you find that there is a lot of noise coming from Participants during the meeting , you can mute them.
